Manage User Permissions

Account administrators are able to see everything in the account by default, but user teams and general users must be given permission before they are able to access or modify account elements. This can be done  in the Manage Users section of the Settings page or on the Edit page of individual account elements.

Grant access to Users and Teams

To grant a user or team access to an element in your account, such as a facility, audit, audit template, or compliance obligation, simply go to the edit page of that item and add the appropriate users and teams to the Access text field.

This will allow the user, or team members, to access and make changes to the account element in question.

Assign Responsibility to  Users and Teams

Users and teams can be also be selected as the responsible person or group for a number of items in your account.

Corrective Actions

To assign a responsible person or team to an audit or incident corrective action, simply click on the responsible person drop-down menu and select the appropriate name.

Once a responsible entity has been assigned, a task will be generated, as well as an email notification which will contain a direct link to the corrective action. Responsible people can also quickly access the corrective action via their Tasks pages.

Scheduled Obligations

Scheduled obligations can be linked to the various assets in your facilities. When creating an obligation, you can assign a responsible person or team by selecting them from the responsible person drop-down menu.

Once the obligation is assigned, a task will be generated which will allow responsible people to quickly start and complete the Obligation.

Compliance Obligations

You can assign responsibility for Compliance Obligations at three levels:

1. At the compliance obligation level

A user or team can be assigned as responsible for an entire compliance obligation. To do this, go to the edit page of your compliance obligation, and select the appropriate name from the responsible person drop-down menu.

When a responsible person or team is assigned to a compliance obligation, they will be assigned all of the tasks generated for legislation in that compliance obligation that has not been otherwise assigned.

2. At the legislation level

Responsibility can also be assigned on a legislation by legislation basis. To assign a responsible person or team to a piece of legislation in your compliance obligation, go to that legislation and open it by clicking on its title. Next, click on Edit next to the name of the responsible person, and select the appropriate name.

When a responsible person or  team is assigned at the legislation level, they will receive all notifications for the legislation to which they are assigned, regardless of whether or not they are responsible for the entire compliance obligation.

3. At the Clause Level

Similar to the legislation level, responsibility can be assigned on an clause by clause basis. To assign a responsible person or team to a legislative clause in your compliance obligation, go to the legislation click on Clause Level. Next, locate the clause that you would like to assign, click on Edit next to the name of the responsible person, and select the appropriate name.
